Property Management Administrative Assistant/CSC
<p><u><strong>Job Summary:</strong></u></p> The Property Management Administrative Assistant/CSC (PMA/CSC) will provide administrative support to the operations staff assisting with the day-to-day functions of property management.&nbsp; The PMA/CSC may be required to act as liaison between the tenants and the Property Managers for certain property related issues. <p><strong><u>Role and Responsibilities</u>:</strong></p> <ul> <li>Answer and direct all incoming phone calls.&nbsp; Provide assistance when possible and route calls to appropriate employees.&nbsp; Greet visitors and clients.</li> <li>Sort, organize and distribute all incoming mail.&nbsp; Prepare and send all outgoing mail and packages, including certified, overnight and special deliveries.</li> <li>Respond to tenant requests, including coordinating tenant work requests with engineering staff and vendors.&nbsp; Escalate issues to the appropriate Property Management staff.</li> <li>Distribute documents to Lease Administration such as certificates of insurance, commencement letters and other legal documents.</li> <li>Follow-up with customers to ensure service requested are completed to their satisfaction.</li> <li>Assist with sorting, coding, and inputting of invoices.</li> <li>Ability to draft and write detailed documents and emails communications to tenants, vendors, and contracted firms to prepare reports and presentations, technical information in a clear and concise manner.</li> <li>Organize, compile and prepare reports for distribution.</li> <li>Sets up and maintains files, materials, information, schedules and related data.&nbsp;&nbsp; Maintains Property Management files, reports and related communications.&nbsp; Filing, both electronic and paper.</li> <li>Management of the office Federal Express and Stamps.com accounts.</li> <li>Update and file documents in SharePoint.</li> </ul> <p>&nbsp;</p>

Requirements <p><strong><u>Qualifications and Education Requirements</u>:</strong></p> <ul> <li>Associate or Bachelor&rsquo;s degree plus administrative experience in a professional, service-oriented environment with significant public contact preferred.&nbsp; Remote work does not apply to this role.</li> <li>Strong computer skills with proficiency in Microsoft Word, Excel and Outlook.</li> <li>Excellent verbal and written communication skills with strong attention to detail and accuracy.&nbsp; Pleasant phone demeanor.&nbsp; Solid customer service skills.</li> <li>Ability to multi-task with strong organizational skills, prioritization, and time management skills.</li> <li>Proof of full COVID vaccine is required with consideration for accommodation for medical or religious based reasons.</li> </ul>
